These Terms and Conditions establish a clear understanding between Graphics by HRH and our customers, outlining rights, responsibilities, and policies that govern our collaboration. By using our services, you agree to these terms, so please read them carefully.

1. Business Overview

Graphics by HRH is a professional graphic design service dedicated to helping small businesses achieve their branding and marketing goals. We specialize in creating custom designs that effectively communicate your business’s identity and values.

Our services include creating marketing materials (e.g., flyers, posters, social media graphics), branding assets (e.g., logos, business cards), and bespoke digital content. Each design is tailored to reflect your specific requirements, ensuring originality and relevance to your industry and audience.

At Graphics by HRH, we believe in collaboration and creativity. We work closely with our customers, listening to their ideas and visions while providing professional guidance to enhance the final product. Whether you’re launching a new business or looking to refresh your branding, we are here to support you every step of the way.

2. Delivery Timeline

The timely delivery of your project is a priority for Graphics by HRH. Most designs are completed within an estimated timeframe of 3–5 working days from the project’s start date. This timeframe is based on standard design requirements and assumes the customer provides all necessary information promptly at the beginning of the project.

For more complex projects or during periods of high demand, delivery times may be extended. In the event of delays, customers will be notified as soon as possible to ensure transparency. If delivery exceeds the agreed timeframe, customers have the option to cancel the project without penalty.

We encourage customers to share their timeline expectations upfront. If expedited delivery is required, please discuss this during the initial consultation, as additional charges may apply for rush projects. Open communication throughout the process is key to ensuring smooth progress and managing expectations effectively.

3. Method of Delivery

All completed designs are delivered digitally through secure download links. Digital delivery is the most efficient and convenient method, allowing customers to access their files immediately upon completion. By default, designs are provided in PDF format without bleed unless otherwise requested during the initial consultation.

Should customers require designs in alternative formats (e.g., JPEG, PNG), this can be arranged upon request. If source files (e.g., PSD, AI) are needed, additional charges may apply, as these files allow for future edits and customization.

Customers experiencing issues with downloading files may request a resend within 30 days of the original delivery date. Graphics by HRH cannot guarantee access to files after this period, so we recommend saving and securely backing up your files upon receipt.

If customers prefer physical delivery (e.g., USB drives), this must be arranged at the start of the project, and additional fees may apply.

4. Custom Orders & Packages

Graphics by HRH offers custom design services to accommodate unique and specific requirements. Custom orders allow customers to specify design elements such as layout, color scheme, style, format, and any other details that align with their vision.

The pricing for custom orders is determined based on the complexity, time, and resources needed to complete the design. This pricing is communicated upfront to ensure transparency before the project begins. Customers are required to provide all necessary details and specifications at the start of the project. Once the project has commenced, changes to the agreed-upon design specifications cannot be accommodated to avoid disruptions and delays.

Custom designs are ideal for businesses seeking personalized and impactful graphics that reflect their identity and branding goals. Graphics by HRH is committed to bringing your vision to life while ensuring professionalism and excellence in every project.

1. Service Scope

Each package includes a set of creative services and revisions. Full package details can be found on our Pricing Page.

2. Revisions

Each design item includes a fixed number of revisions. Additional changes beyond the included limit may incur extra charges.

3. Payment

Full or partial payment may be required before work begins. The balance, if any, is due upon completion of the project or as agreed in writing.

4. Delivery & Deadlines

Deliverables are provided when ready unless agreed upon at booking. For weekly services, items are typically delivered by Tuesday midday, unless otherwise arranged.

5. Cancellation & Penalties

If a project is cancelled before any work starts, a refund may be issued. If cancelled after work begins, completed work will be charged at standard rates. In weekly packages, early termination triggers billing at the regular advert rate for completed work.

6. Ownership & Usage

Final designs become the client’s property upon full payment. Graphics by HRH retains the right to display work in its portfolio unless a client requests otherwise.

7. Client Responsibilities

Timely communication and provision of content are essential to meet deadlines. Delays caused by client inaction may affect delivery timelines.

8. Custom Offers

Any custom offer provided is valid for 14 days from the date of issue, unless a different validity period has been agreed upon in writing. After this period, the offer may be subject to change or withdrawal without prior notice.

5. Revision Policy

To ensure the final design meets your expectations, Graphics by HRH provides up to three revisions per project at no extra cost. Revisions are defined as minor adjustments or refinements to the design based on customer feedback. Examples include:

  • Adjusting colors or fonts.
  • Modifying text placement or content.
  • Resizing or repositioning design elements.

Feedback for revisions must be provided promptly to avoid delays. Customers are encouraged to be as specific and detailed as possible when providing feedback to ensure revisions are completed accurately and efficiently.

If additional revisions are required beyond the initial three, these will incur extra charges based on the complexity and scope of the requested changes. Customers will be informed of these charges before proceeding. Major design alterations or complete redesigns are not included in the revision policy and will be treated as new projects subject to separate agreements and pricing.

6. Payment Terms

Payment is due in full upon delivery of the final draft of the design. Customers are required to settle payment once the last draft is shared, signaling the completion of the project.

By proceeding with the project, customers agree to fulfill payment obligations upon delivery of the final draft, regardless of any adjustments or modifications requested afterward. Graphics by HRH reserves the right to suspend or terminate projects in the event of non-payment or failure to adhere to the agreed timeline.

Payment methods will be agreed upon at the beginning of the project, and customers are advised to retain proof of payment for their records.

7. Approval Process and Responsibility

Customers are responsible for thoroughly reviewing the completed designs before providing final approval. Approval signifies that the design meets the customer’s expectations and is ready for use. Graphics by HRH will not be held liable for dissatisfaction, errors, or issues identified after approval.

We recommend that customers check for the following during the review process:

  • Spelling and grammatical accuracy in text elements.
  • Proper alignment, sizing, and formatting of design components.
  • Overall aesthetic appeal and functionality of the design.

Graphics are delivered in A4 dimensions unless specific size requirements are communicated at the start of the project. Customers must specify preferences clearly, as changes to design specifications cannot be accommodated once the project begins.

8. Usage Rights

Upon delivery, customers are granted full rights to use the completed designs for any personal, professional, or commercial purposes. Graphics by HRH retains the right to feature completed designs on our website, social media platforms, and portfolio unless explicitly prohibited by the customer.

If customers prefer not to have their designs displayed publicly, this must be communicated in writing prior to the completion of the project. Graphics by HRH respects customer preferences and will honor requests for privacy or exclusivity wherever possible.

9. Business Hours and Communication

Graphics by HRH operates during regular business hours, and customers are encouraged to communicate within these hours for inquiries, updates, or feedback.

Professionalism and respect are expected during all interactions. Any behavior deemed inappropriate, disrespectful, or disruptive will result in the immediate termination of the project. Maintaining clear and constructive communication ensures smooth collaboration and customer satisfaction.

Graphics by HRH also offers after-hours availability subject to additional charges. Requests for after-hours communication or services must be arranged in advance and agreed upon by both parties.

10. Confidentiality

Graphics by HRH is committed to protecting the privacy and confidentiality of our customers. Information shared during the design process will not be disclosed to third parties unless explicitly permitted by the customer.

If additional confidentiality measures are required, such as a non-disclosure agreement (NDA), these can be arranged upon request. Customers are encouraged to communicate any specific privacy concerns at the start of the project.

11. Additional Charges

Additional charges may apply under certain circumstances, including but not limited to:

  • Projects that involve significant complexity or require extensive resources to complete.
  • Delays caused by the customer’s failure to respond to requests for feedback, information, or approvals in a timely manner.

Charges for expedited projects, source files, or additional revisions beyond the scope of the agreement will also be communicated clearly before proceeding. Graphics by HRH strives to ensure all charges are transparent and justified.

12. Termination of Project

Projects terminated by the customer after commencement are subject to a full charge, regardless of progress made at the time of termination. Graphics by HRH reserves the right to terminate projects due to non-payment, failure to provide necessary information, or inappropriate customer behavior.

13. File Retention Policy

Graphics by HRH retains copies of design files for up to 30 days after delivery. Customers may request access to files within this period if necessary. After 30 days, files may no longer be available, and additional fees may apply for retrieving archived files if accessible.

14. Force Majeure

Graphics by HRH is not liable for delays, interruptions, or cancellations caused by circumstances beyond our control, including natural disasters, technical failures, or emergencies. Customers will be notified promptly if such situations arise.

15. Jurisdiction

These Terms and Conditions are governed by the laws of the United Kingdom. Customers agree that any legal disputes will be resolved under UK jurisdiction.

Graphics by HRH encourages resolution through mediation or negotiation before pursuing formal legal proceedings.
